The International Women’s Club of Valencia (IWCV) takes your privacy seriously and because you provide us with your personal information as a member of our organization we are a ‘controller’ of personal information as defined by the EU General Data Protection Regulation (GDPR)
In compliance with the GDPR this privacy notice describes what personal data we collect as part of your membership, how we use it and how we keep it safe.

We process members’ personal information in pursuit of our legitimate interests, including but not limited to:

How do you access and update your personal information?

On the website you can view and modify the personal data we hold about you at any time via your website login.
You can email the IWCV at iwcvalencia@gmail.com to request that your information is either sent to you or your data is updated.

You can contact any IWCV Board member to request that your information is sent to you.
Deleting Your Data
The IWCV retains your data for the duration of your membership. You have the right to request deletion of data at any time, however the IWCV may not be able to continue your membership benefits or allow event registration without it. To request deletion of your data, send an email to iwcvalencia@gmail.com
If your membership ends, through cancellation or non-renewal, we will archive your personal data within 60 days. Your personal data will then be permanently deleted one year after archiving. After this time, if you rejoin as a member, you will need to fill out the registration form again.
We may also keep anonymous demographic data for historical reporting purposes. This demographic data will not contain any individually identifiable personal information.
When does the IWCV contact you, and how can you manage your communication preferences?
The IWCV communicates with its members via email for reasons including but not limited to the following:

a monthly newsletter

membership and system emails (membership confirmation, renewal reminders, password resets, etc.)

event emails (confirmations, reminders)

ad Hoc emails regarding last minute events
Members can request to be removed from newsletter or ad Hoc emails via iwcvalencia@gmail.com, or by contacting any board member.
How do we protect your personal information?
Internal Processes
Your data is stored by the IWCV in a password-protected database on our web server hosted by WIX. You can learn more about our host’s Security, Data and Privacy Protection and their GDPR compliance status by contacting them directly through their website https://www.wix.com.
Your personal data is accessible by members of the IWCV Board and certain others designated by the board, in addition to other IWCV Members. Those allowed access to this data must also accept this Privacy Policy and the strict GDPR-compliant guidelines about how the information may be accessed and used.
External Service Providers
The IWCV never shares your personal information with any third party for any purpose not directly related to our organization's business.
It is strictly forbidden for any member to use the contact information of any other member

The IWCV does use third party suppliers to provide some services necessary to serve our membership. These suppliers may process personal data on our behalf as “processors” and are subject to contractual conditions only to process that personal information under our instructions and to protect it.

In the event the IWCV shares personal information with external third parties, we only share such information strictly required for the specific purposes and take reasonable steps to ensure recipients shall process only the disclosed personal information in accordance with those purposes.
In the course of ordinary IWCV activities, your contact data may be used on third party sites or on social media. Contact data is needed for such things as, for example, survey tools.
Event photos may be uploaded to our website or Facebook page.
An activity group in which you choose to participate may use your contact data on WhatsApp or by other electronic or non-electronic means to keep you informed.
The IWCV is not responsible for the content of external Internet sites. Our members are advised to read the privacy policy of external sites before disclosing any personal information.
